OurLibrary is a document management system that is based upon the following foundation:

  • Microsoft Windows 2003 Server or Windows XP Professional

  • Microsoft SQL Server 2000 database (MSDE version)

  • Dell computers with Intel Pentium Processors

  • Iomega REV Drive

OurLibrary is distributed on a dedicated computer that holds the documents and provides shared access to network users.  For organizations where no more than 10 users will require access, a computer running Microsoft Windows XP Professional is suitable  When ten or more users will require access to the documents, a server computer running Windows 2003 Server is used to hold and distribute the documents.  These Microsoft operating systems provide outstanding performance for document management applications.  Note that the client computers that search and view documents can utilize a broad range of operating systems, from Windows 98 to Windows XP Professional.

Document index and security information is stored in a Microsoft SQL Server database.  Users can search for documents using combinations of indexes.  This SQL Server database will allow expansion up to 10,000,000 documents in a single OurLibrary system.  The basic OurLibrary system utilizes the MSDE version of SQL Server, which is configured to perform up to five concurrent searches.  This version has been proven to deliver excellent performance in an organization with more than 50 total users. However, if the number of users expands beyond the capabilities of the MSDE version, a larger version of Microsoft SQL Server can be purchased and OurLibrary can be used by thousands of users (with additional server hardware resources).

Dell Computers has been selected as the primary source of computer hardware for OurLibrary.  Dell offers reliable hardware and excellent support at affordable prices.

Iomega REV drive storage is used to store a backup copy of each document that is added to an OurLibrary system.  This backup is intended to prevent documents from becoming lost due to hard drive failures or document deletion.  Each REV cartridge holds approximately 800,000 pages of scanned images.  The index information associated with each document is written to REV media using the XML (Extensible Markup Language) standard.  When each REV cartridge is filled, the index information for all documents on the cartridge are written to an Access database on the cartridge.  The Find Document application provided with OurLibrary can be used to search and view documents directly from this REV media.  If a customer decides to move from OurLibrary to another document management product, the documents should to be easy to import, since the index values are provided in XML and Access.
